Aim: Draw Gantt Chart using MS Excel and to use the Critical Path Method to manage the
project.
Objectives
1. To learn to draw the Gantt chart
2. To draw CPM diagram
Project management is the practice of initiating, planning, executing, monitoring and
controlling, and closing the work of a team to achieve specific goals and meet specific success
criteria at the specified time. Two popular methods used for Project management are GANTT
chart and CPM .
Theory:
1. Gantt Chart:
The Gantt chart is scheduling tools in project management. It’s a horizontal bar chart that
shows progress on a project schedule. Tasks are arrayed on the vertical axis while the
horizontal axis represents time. You can view individual tasks, their durations and the
sequencing of these tasks. View the overall timeline of the project and the expected
completion date. As the project moves forward with actual performance updated, the
Gantt chart will adjust simultaneously displaying an up-to-date project schedule with new
start and finish dates for incomplete tasks and record the original baseline of your plan.
Procedure:
a) Identify Essential Tasks
b) Identify Task Start date
c) Identify Duration to complete the activity

2. CPM (Critical Path Management )Diagram: The Critical Path Method (CPM) is a project scheduling technique to analyze and represent the tasks involved in completing a given project. It is usually drawn for the entire project. The objective is to determine the activity durations and to schedule the activities in order to minimize the project costs, given a predefined project deadline restriction. CPM is an important tool for project management because it identifies critical and non-critical tasks to prevent conflicts and bottlenecks. CPM is often applied to the analysis of a project network logic diagram to produce maximum practical efficiency. Procedure: a) Determine required tasks b) List required tasks in sequence c) Create a flowchart/network diagram including each required task d) Identify all critical and non-critical relationships (paths) among required tasks e) Assign an expected completion/execution time for each required task f) Study all critical relationships to determine all possible alternatives or backups for as many as possible.

Calculating the critical path is key during the planning phase because the critical path identifies important deadlines and the activities which must be completed on time. Once a critical path is determined, you’ll have a clear picture of the project’s actual schedule.

3. State advantage and disadvantage of Gantt Chart. Ans. Advantages of Gantt Chart are:-  It is to represent the Project schedules and Activities  Easy to represent Tasks, Sub-tasks, Milestones and Projects Visually on a Graph  Clear visibility of Dates and Time Frames  It helps to see the Plans by Day, Week, Month, Quarter and Year  Helps to effectively mange the Team  And it helps in efficient Time Management  Easy to group all sub tasks under a main task  Also, we can see the Team Members and their responsible tasks  Easy to Check the Project Status  We can See the Completed % of Tasks  Tasks in Progress and Pending work is clearly visible on Stacked Bars  Helps Managers to easily coordinate with the teams  Gantt chart is good tool for presenting in Team Meetings Disadvantages of Gnatt Chart are:-  Require more efforts for Creating and Managing the Chart  Updating a Chart is Very Time Consuming  All Tasks are not visible in a single view of a Gantt  Need to scroll and Click additional buttons to view remaining items  Stacks represents only the time and not the hours of the work  Not easy to re align the tasks from on section to another  Not easy to calculate the aggregates Although, it has few disadvantage. It is still a powerful tool for managing your projects, teams and time more effectively. Because of its clarity in visual representation of tasks and easiy to schedule the tasks and understand by different time frames.
