GUIDELINES FOR PROJECT REPORT

Report Format

Paging

Preliminaries (from preface to abstract and bibliography & appendix) are numbered using small Roman numerals (i, ii, iii………).The page numbers of preliminaries normally appear at the bottom of the page without punctuations, and centered one inch from the bottom of the page. All other pages beginning with First page of Chapter I are numbered with Arabic Numerals. This number normally appears without punctuation in the top right hand corner of the page one inch from the top and one inch from the right hand edge of the paper. For all first pages of each chapter, the number is assigned but not typed. The pages indicating the chapter ( CHAPTER I) should also be assigned numbers but not typed on it.

Spacing

The body of the text is typed in double line space. Quotations exceeding three lines are in single line space with indent ( 0 .5” on both sides).

Tables & Figures

The data can be presented either as tables or figures. The tables or figures should not repeat information covered in the text. The tables and figures should always follow its first mention in the text. The tables are numbered by using Arabic numerals (1, 2, 3...) the word TABLE should be in capitals (e.g. TABLE – 1). The title is typed in Lower Case above the table below the table number at the center, all the first letters of the key words should be in capital letters. But for figures the word FIGURE is typed in Capitals and it is placed one double line space below the figure at the left. Arabic numerals are used. For figures, the arrangement of diagrams should proceed from left to right. The title of the diagram should be clear & complete. Provide index wherever it is necessary. The table can be followed by the interpretation on the same page. However tables cannot be split and where there are diagrams the interpretation should be written on the previous or next page.

Bibliography

Every Book, Article, thesis, documents etc., should be arranged in alphabetical order of the Authors’ Names. There is a need for division, such as Books, journals, newspaper, document etc., In Bibliography the Surname precedes the initials of the first name. For Books

  1. Authors’ Name 2) Initial of Authors Name 3)Name of the Book 4) Place of Publication 5 ) Publishers’ Name, 6) Year. No page number should be mentioned except for Journal Articles. If it runs to second line the second line should be intended. Example : Argyris, C. Personality and Organization. New York: Harper Publishing Company, 2001. For Journals
  2. Authors’ Name 2) Year 3) Title of the Article 4) Name of the Journal 7) Volume No., Issue No and page number. Example : Turner, L.C.F 1968. the Russian Mobilization in 1914. Journal Of Contemporary History. Vol. 3 (6). Pg.65-67. For Websites Exact address in which that review is available. Details of Format

The entire format should have a general, common pattern. Uniformity is essential for effective communication.

Format of the Project Report

  1. Title Page: Title, Statements, Name of the Researcher, College emblem, College, Department, place and Year. – refer your guide for the sample.
  2. Dedication Sheet: It is Optional
  3. Approval Sheet: Uniform Text – signed by guide and H.O.D – refer your guide for the sample.
  4. Preface: General Note on Project Work, background, name of the researcher with date place should be mentioned.
  5. Acknowledgement: Thanking first the Principal, then HOD, Guide and others with the signature of the researcher with date & place.
  6. Contents: All the contents that is preface, Acknowledgement, Chapters, Bibliography, Appendix etc., are mentioned with page numbers.
  7. List of Tables : Title of the tables and page numbers are listed
  8. List of Figures: Title of the Figures and page numbers are listed.
  9. List of Photos: Caption/ Title and page numbers are listed.
  10. Abstract: This is the summary of the whole project. It contains details of the methodology, main findings and suggestions in short.

Chapter I : INTRODUCTION

Part – 1 Introduction:

  1. General Introduction, 2) Statement of the Problem, 3) Need and importance of the Study, 4) Objectives ( General and Specific), 5) Hypotheses (if any) and 6) Limitations of the Study. Part – 2 Methodology:
  1. Field of Study : details of area of study ( about the HR Dept. also)
  2. Pilot Study : Details of Pilot Study – when – where – how - outcome
  3. Research Design : Nature of Design and Justification
  4. Sampling Method : Sample Design, Technique and details
  5. Tools of Data Collection : Tools used, reason for selection, details of tool.
  6. Sources of Data : Details of Sources of Data ( Primary and secondary)
  7. Pre testing : Details of pre testing, changes made due to pre testing
  8. Actual Data Collection : details of data collection, time duration, procedures.
  9. Definition of terms : definition of terms used in title & Key words of Research
  10. Organization of the study : The various division and presentation of chapters.

Chapter II : REVIEW OF LITERATURE

  1. The project report should be written in past tense, but other tenses can be used according to the meaning and situation.
  2. The paper should be ‘executive bond paper’ in A4 size.
  3. The outer cover wrapper should be in light blue for odd years and light pink for even years submission.
  4. The details of title page should be printed on the first page of the outer wrapper in black ink.
  5. A code book is necessary with details of 1. serial no. 2. question number 3. variable details 4. details of choice ( options) 5. code number for distortions 6. column number ( based on the distortions).
  6. Master sheet should be prepared according to the method of analysis. If manual process is carried out, respondents number in columns and variable and question numbers are arranged in rows. Simple analysis should be provided. If computer analysis is used the respondents numbers in rows and variables distortions in columns are transferred, for a birds’ eye view of the data.
  7. By using master sheet cross tables are prepared with tally marks, after forming the structure of the cross table on a separate sheet.
  8. Graph sheets or master sheets can be used for master sheet
  9. It is better to get help of another individual to transfer the data into master sheet without mistakes.
  10. The chapters and all research work should be completed with in the specified time. The respective guides will monitor it.
  11. Always read the draft to your friend for corrections.
  12. Do not use monotonous language, write with proper flow of language.
  13. Use a dictionary, thesaurus and a grammar book to write the report.
  14. Never depend too much on your guide. Come out with original findings and enjoy the happiness by contributing to the profession.
  15. Avoid plagiarism of any type and be honest in acknowledging.
  16. All the records of research work should be filed for references in a separate file for reference if required.
  17. Do not submit the chapter etc., for correction on the last date. Give them in advance for proper correction & guidance.
  18. Never copy a tool or information from other project reports. The student will be punished for the fault.
  19. Minimum of 15 books references are required (related or relevant)
  20. Draw cross tables for useful findings
  21. Never take it easy but plan and complete your project well in advance, before the due dates.
  22. Try to use conventional figures for easy understanding
  23. Two copies of the project to be submitted to the department and one to the factory (if they ask for).
  24. Sign in Acknowledgements. In Acknowledgements Researchers’ Name should be at the right side bottom and date & place at left side bottom should be typed.
  25. In preface only the name should appear at the right side bottom. Signature is not required.
