Student Placement Accommodation Policy
This policy will be reviewed in January each year
1. The following sites provide accommodation to students during clinical placements:
William Harvey Hospital (Ashford)
Kent & Canterbury Hospital (Canterbury)
Queen Elizabeth The Queen Mother Hospital (Margate)
Conquest Hospital (Hastings)
Eastbourne District General Hospital
Worthing Hospital
St Richard's Hospital (Chichester)
Maidstone Hospital
Medway Maritime Hospital

2. Placement sites must provide students with accommodation for the duration of the clinical
block. Sites are not required to provide accommodation during campus-based teaching weeks,
consolidation weeks or College closure periods.
3. Changes in placement accommodation will only be made in exceptional circumstances. The GKT
School of Medical Education and site will work jointly to identify a solution if such circumstances
arise. This may involve student removal from a site or the provision of alternative
accommodation and/or travel costs.
4. The cost of accommodation will be paid by the Trust receiving the Undergraduate Medical
Education Tariff for those students placed at the site for the period of the placement.
5. The GKT School of Medical Education requires that student accommodation be clean, safe,
secure, private and comfortable. All aspects of the accommodation provided must conform to
current and relevant Health & Safety regulations.
6. Accommodation must be made available to students from the day prior to the start of their
clinical placement until the day following completion of their clinical placement.
6.1 In exceptional circumstances where it may be necessary for students to vacate the
accommodation in the morning of the final day of their placement, secure on-site storage must
be provided for their belongings until completion of all teaching.

Student Placement Accommodation Policy

6.1.1 Students must be informed of the exact date by which they are required to vacate the accommodation at least 3 weeks prior to the end of their placement and this must not be changed, except in exceptional circumstances agreed in advance with the GKT School of Medical Education.

6.2 A simple and effective procedure for students to check-in and gain initial access to their accommodation must be in place and must have been sent to all students at least one week before their arrival.

6.2.1 This information should contain details of any items, not mandated within this policy, which students need to supply themselves.

6.3 The students must be expected on the day of their arrival and a contact number or location provided for them to receive assistance, if necessary.

6.4 The accommodation must have been cleaned, checked for problems and known issues rectified before the arrival of students.

6.5 A simple system for reporting faults must be in place and details of this process clearly displayed in each student flat.

6.5.1 This system needs to ensure that critical problems such as those concerning the provision of hot and cold water, heating, lighting and security are addressed immediately.

6.5.2 Other reported problems should have a reasonable but prompt response time that is communicated to the students.

6.6 The communal areas of the accommodation should be cleaned at least once a week.

6.6.1 Basic cleaning supplies should be provided in each flat for use by students.

6.7 All staff reporting to clean or provide maintenance must clearly display their I.D. and must always ring the bell or knock on the door to each flat to announce their presence to tenants before gaining access to a student flat or room.

6.7.1 There should be no unauthorised access to student flats at any time, and students must be provided with a number they can call to confirm the identity of any person wishing to gain entry, if necessary.

6.8 Any plans for scheduled maintenance work to flats, not requested by students, should be clearly displayed and highlighted to students well in advance of the scheduled day and should not result in any significant inconvenience.

6.9 Where student flats are situated within a larger block, entry to that block should be restricted to tenants and those authorised entry for the purposes of maintenance.

  1. Kitchen

8.1 Each kitchen should have a good standard of bench tops, tiles, cupboards and flooring to ensure the space is both safe and hygienic.

8.2 Each kitchen must be supplied with an oven, hob, fridge, freezer, microwave oven, kettle, and toaster.

8.2.1 These should be of sufficient size and specification for the number of people using the facility and be of a good standard. Fridges should ideally provide each student with one shelf each as a minimum.

8.2.2 Clear instructions should be provided for all appliances, where necessary.

8.3 Each kitchen must be supplied with sufficient cooking equipment, crockery and utensils at a good standard for the number of people using the facility.

8.4 Each kitchen must be supplied with sufficient cupboard space for each occupier, preferably with each student allocated a separate lockable unit.

8.5 A table around which occupants can eat should be provided within the accommodation. Where space is limited and/or there is no communal area within the flat, fold-away table(s) should be provided.

  1. Bathroom

9.1 There should be sufficient shower and toilet facilities provided in each flat for the number of people using the facility.

9.2 Shower/bath, sink, and toilet units and fittings should be of a good standard such that they are safe and hygienic.

9.2.1 Showers must be supplied with a good level of water pressure.

  1. Bedrooms

10.1 All bedrooms should be single occupancy.

10.2 Each bedroom should contain a single bed with good quality, clean mattress, bed linen, pillows, and blankets/duvet at minimum.

10.2.1 Clean linen should be available to students at all times.

10.2.2 Extra pillows or blankets/duvets should be available to students on request.

10.3 Each bedroom must contain a desk, chair, set of drawers, wardrobe and working lamp.

10.3.1 Light bulbs for the lamp and main light should be supplied or replaced on demand.

  1. Internet

11.1 All student accommodation must be equipped with wireless internet (Wi-Fi) capability.

11.1.1 Where this is not currently the case, the installation of Wi-Fi within student accommodation must be a priority, with a clear plan and timeframe for completion.

11.1.2 Prior to installation, measures must be in place to mitigate the effect of the lack of Wi-Fi in student accommodation, e.g. the provision of dongles.

11.2 The Wi-Fi provided must be:

11.2.1 A reliable service that is free from significant or regular outages.

11.2.2 Of sufficient bandwidth and speed to satisfy the work and leisure demands of the number of students using the service.

11.2.3 Equally accessible in all rooms occupied by students.

11.2.4 Configured to allow students access to the internet without restriction.

11.2.5 Provided free of charge to undergraduate medical students.

11.3 A system must be in place for reporting faults with the Wi-Fi service and/or a technical helpline provided for students to call should the need arise.

11.3.1 Reported faults must be responded to and resolved promptly, with no significant loss of service experienced.

11.3.2 It is the responsibility of the Trust to ensure that Internet Providers respond promptly and effectively to problems experienced with the network.

11.3.3 A rolling programme of software and hardware upgrades must be undertaken to ensure continued sufficiently high-quality and reliable Wi-Fi provision.
