Position Title: Event Manager Department: Events Position Reports To: Brewers Association Events Director Exempt: ______x____ Non-­‐Exempt: ____________ Nature of the Position: Event Manager position is for an experienced, take charge professional with ability to manage administrative, planning and logistics duties in support of a busy special events environment. Qualified candidate will be a highly motivated and organized people person with strong project management, administrative and event experience. The right person for this position will enjoy multi-­‐tasking, coordinating and managing various projects. The position requires excellent attention to detail and strong communication and computer skills/aptitude. Position works under the direct supervision of the Event Director and is involved in assistance with coordination and management of various aspects of events as assigned. Responsibilities include planning, organizing, coordinating and providing support services for all Association events. Main responsibilities include but are not limited to: project managing event program guides and being main point of contact with Graphics department for event programs and event signage needs; manage Catering requirements for Great American Beer Festival, Craft Brewers Conference and Homebrewers Conference; rooming list management for hotel accommodations at BA events; local committee liaison for HOMEBREWERS CONFERENCE; coordinate glass/gift orders and help continue to build on Sustainability program at all BA events. A specific focus is placed on Homebrewers Conference planning and management. This position also assists in all other areas necessary for the smooth operations of the Events Department. Position Duties (include both primary and secondary):

  • Project manage GREAT AMERICAN BEER FESTIVAL, CRAFT BREWERS CONFERENCE, SAVOR and HOMEBREWERS CONFERENCE printed event guides/programs.
  • Project manager for event related graphics requests – including program lead for CRAFT BREWERS CONFERENCE, HOMEBREWERS CONFERENCE, SAVOR, WORLD BEER CUP and printed materials – works closely with Events, Marketing and Graphics Dept.
  • Catering Coordinator – GREAT AMERICAN BEER FESTIVAL, HOMEBREWERS CONFERENCE and CRAFT BREWERS CONFERENCE – includes working with Director to manage catering orders.
  • Work closely with Event Director /AHA Director on site selection for HOMEBREWERS CONFERENCE.
  • Act as a liaison with Association staff in scheduling and communicating hotel accommodations for staff at events.
  • Responsible for coordinating staff rooming lists for BA events.
  • Responsible for hotel bill review post event.
  • Speaker/Seminar Coordinator /Liaison -­‐ CRAFT BREWERS CONFERENCE and HOMEBREWERS CONFERENCE. Main point of contact for speaker communications and coordination at HOMEBREWERS CONFERENCE and CRAFT BREWERS CONFERENCE. Responsible for communicating speaker needs to Sr. Event Manager managing the AV company on site at events.
  • Responsible for meeting notes for departmental and committee meetings

  • Local committee liaison for HOMEBREWERS CONFERENCE.
  • Assist with sustainability program development for BA events – work closely with festival Operations Manager.
  • Assist with drafting non marketing event related communications.
  • Responsible for awards and gift ordering in consultation with Director (WORLD BEER CUP, GREAT AMERICAN BEER FESTIVAL awards, Speaker gifts, glassware)
  • Act as liaison between association divisions and Events division. Attend divisional meetings and report back to events department on progress and procedures relating specifically to events.
  • Act as Brewers Association liaison to GREAT AMERICAN BEER FESTIVAL Volunteer Program by attending at least one Captain’s meeting a year. Discuss BA mission and goals at the meeting and be available to answer questions. Coordinate with GREAT AMERICAN BEER FESTIVAL Volunteer Program Manager on meeting schedule.
  • Coordinate BA event related signage (non marketing related) with Freeman Decorating, Event Director and Operations Manager for CRAFT BREWERS CONFERENCE/HOMEBREWERS CONFERENCE/GREAT AMERICAN BEER FESTIVAL/WORLD BEER CUP, as well as other décor projects as requested.
  • Assist as necessary with on site logistics at the conferences.
  • Assist with Phone inquiries as needed on all events.
  • Assist event director with administrative duties as requested.
  • Assist with responding to requests for GREAT AMERICAN BEER FESTIVAL and WORLD BEER CUP logo/trademark use. Includes reviewing and confirming art is in compliance with rules; responding in a timely manner either by granting approval for requests that are in compliance or requiring changes to bring art into compliance.
  • Answer email correspondences relating to events as they are received. Within 24-­‐ 48 hours of receipt.
  • Responsible for special projects as requested by the event director.
  • Perform other duties and related work as required. Some travel. Attendance at industry events, including Craft Brewers Conference, SAVOR Homebrewers Conference and Great American Beer Festival. Other industry events as required. Skills, Knowledge and Education Required:
    • Excellent communication skills, including writing, proof reading skills, and speaking. Must have very strong oral and written communication skills. Excellent interpersonal skills both in person and by phone, with high professionalism.
