All Clubs/Societies must have an elected committee made up of current Bath Spa students who are responsible for the running of the group. The three compulsory positions all committees should have are: ● President ● Vice President/Secretary ● Treasurer The committee should be elected during the Students’ Union’s online elections held in semester two. Anyone who is a full member of their society can nominate themselves, apart from associate members. All Clubs/Societies are unique, therefore they all run slightly differently, we encourage everyone to find the committee set up that works for them. These guidelines are set to offer structure, however we accept that some groups may have different/varied roles within their Club/Society.
All Committee Members in addition to their specific roles outlined below should: ● Uphold Bath Spa Students’ Union Constitution. ● Adhere to all Students’ Union Policies including but not limited to Initiations, Equal Opportunities and Health and Safety ● Work within all Students’ Union Guidelines ● Adhere to the club/society’s constitution and abide by its rules President ● Oversee all areas of the running and coordination of the club / society ● Be the first point of contact for the VP Opportunities and Clubs and Societies Coordinator ● Ensure Risk Assessments are completed ● Act as Chair for all club/ society meetings ● Act as the club/ society representative to all external bodies ● Provide a representative at all relevant meetings including Students’ Union General Meetings, Student Council and AU/ Societies Committee Meetings ● Make every effort to attend all club/ society events ● Help, advise and support all members of the club/ society ● Support all other committee roles in order to make the club/ society a success e.g. supporting the treasurer if applying for funding Vice President ● Assist the President with their duties ● Attend meetings in the President’s absence ● Be responsible for training sessions ● Lead on fundraising for your team/ society income ● Complete Risk Assessments Treasurer ● Responsible for all club/ society money ● Prepare and provide a budget by the deadlines set ● Work with the President if making applications for funding, e.g. the societies fund ● Collect all subscriptions (including match fees) and liaise with the President and Students’ Union to pay bills ● Keep a record of all financial transactions for the club/ society ● Keep the club/ society committee and members informed of the group’s financial situation
Secretary ● Arrange all meetings of the club/ society and keep minutes of these meetings ● Be responsible for the general administration of the club/ society mail, emails and website ● Deal with internal communication to club/ society members ● Ensure that all club/ society members are informed of all relevant information ● Ensure that all members have paid membership ● Maintain up to date record of the club membership including contact details for all members ● Keep an attendance register at all meeting, training and events Captain (AU specific) ● Coordinate the team and players at training and on match day ● Responsible for performance monitoring and encouraging training attendance ● Responsible for making sure all match day requirements are met, e.g. transport, venue and officials ● Finding and developing relationship with a Head Coach ● Collecting and paying in match fees/ subs (if treasurer is not present) Social Secretary (Socials) ● To organise regular socials for members, making them inclusive for all members and participants ● To work with other committee members to advertise and run socials ● Work with the Social Secretary (Events and Fundraising) to plan a diverse range of events Social Secretary (Events and Fundraising) ● Come up with ways to raise money ● Be the lead on large scale events and all fundraisers, heading the group of volunteers required ● Ensure that all appropriate paperwork is completed and on time ● Work closely with the Participation and Equality Officer (if applicable) to ensure that all activities are accessible and welcoming to all ● Coordinate any promotional material for events and fundraising, working with the Social Media Sec/Publicity Officer Media Secretary (if applicable) ● Adhere to finance resource document ● Liaise with Students’ Union if you are raising money for charity ● Work with Social Sec Socials to plan a diverse range of events Academic Secretary ● To ensure a good working relationship between the society and the relevant university department ● To encourage the society to partake in academic activities already running at the university ● To work with the Social Secretaries to organise academic trips and events Online Media Secretary ● To keep all online platforms up to date ● To ensure regular communication with members regarding events, activities, AGM dates etc. ● To advertise any upcoming Students’ Union events such as Activities Fair etc. ● To design any society branding such as logos
